How to choose the right multifunction printer for your office

A multifunction printer (MFP) is one of the most used devices in any office. It prints, copies, scans and often faxes, so choosing the wrong model affects everyone. These are the questions worth answering before you buy, rent or lease.

1. Estimate your monthly print volume

Check how many pages your team prints and copies each month, including peaks such as month-end or exam periods. Choose a device whose recommended monthly volume comfortably exceeds your average — running a small printer at its limit leads to more breakdowns and a higher cost per page.

2. Decide between A3 and A4

If you regularly print or copy A3 documents such as drawings, spreadsheets or notices, you need an A3 device. If almost everything is A4, a compact A4 MFP saves space and usually costs less to buy and run.

3. Colour or mono?

Colour is valuable for marketing material and presentations, but colour pages cost more. Many offices place a colour MFP where it is needed and use mono devices elsewhere, with user codes to control colour printing.

4. Look at scanning, not just printing

Scanning is often overlooked. A single-pass duplex document feeder scans both sides of a page at once, and scan-to-email or scan-to-folder workflows save time every day. If you are digitising records, consider a dedicated document scanner as well.

5. Think about security

Shared printers can expose confidential documents. Secure print release, user authentication and protected storage help keep sensitive information safe — especially in banks, government offices and HR departments.

6. Compare the total cost of ownership

The purchase price is only part of the cost. Ask about toner yields, cost per page, maintenance contracts and the availability of genuine consumables and spare parts. Rental and leasing can spread the cost and include service.

7. Plan for service and support

Find out who will install the device, how service is arranged at your location and whether preventive maintenance is available. Local support matters as much as the specification.
